Are you interested in hosting an OMC meeting at your institution, but you’re not sure what to expect?

OMC members aim to be easy to host. Below is a checklist of elements that hosts participate in, most with assistance and guidance from the OMC co-coordinators. Email us if you'd like to host, or for more information!

Choosing a Date

Meetings are typically held on a Saturday and run from about 10:00 a.m. to 4:00 p.m.

Fall meetings usually take place in late October or the first weekend in November

Spring meetings usually take place in late March or early April
Spaces and Provisions

Reserve a suitable campus space: expect 12 – 18 attendees on average; plan for A/V setup (many presenters will want to project images and may want to use sound or video clips)

Plan for lunch: lunch is often provided by the host institution, but this is not essential when funds are scarce. Lunch may also be self-paid by participants, at any venue that allows us to gather together
Paper Proposals

Hosts are invited to propose a theme for the meeting, if they so desire. We have held both themed and un-themed meetings; open-topic papers are always welcome even at themed meetings. (Co-coordinators will create and send out the Call for Papers)

Members may send paper proposals to the co-coordinators or to the host. The host should forward proposals to the co-coordinators, who assemble the program
Meeting-Day Logistics

The host provides details on campus parking, which co-coordinators forward to attendees (parking need not be free—we just need to know where to park)

The host provides a campus map (or a link to one online), and co-coordinators forward it to attendees
